Every sign must be consistent, readable, correctly numbered, easy to install and packed so the installation team can find each floor’s set quickly. This guide explains how to prepare a bulk order for hotel room-number signs for hotels, lodges, resorts, hostels, serviced apartments and hospitals.

Step 1: prepare the complete sign schedule

Create one spreadsheet or clearly formatted list containing every required sign. Include:

• Room numbers in the exact required format, such as 101–118, 201–218 and 301–318.
• Special rooms: Suite, Deluxe, Family Room or Villa A.
• Utility signs: Reception, Housekeeping, Staff Only, Electrical Room and Store.
• Floor identifiers and directional arrows.
• Quantity of each design and any spare units.

Step 2: choose a consistent numbering system

Use the same number of digits, typeface and alignment throughout the property. If the first digit indicates the floor, keep that logic consistent. Decide early whether basement, ground floor, cottages and suites need a different prefix.

Step 5: confirm the mounting method

• 3M-type tape: Fast installation on smooth, clean, dry and even surfaces; ideal for lightweight signs.
• Studs or spacers: Premium floating appearance and better security, but drilling and alignment are required.
• Screws: Useful for heavier or outdoor signs when visible fixings are acceptable.

Test the chosen fixing on the actual wall or door finish before approving the entire order. Paint texture, laminate, wallpaper and moisture can change adhesion.

Step 6: address accessibility at the quotation stage

If the property requires tactile characters, Braille, specific contrast, mounting height or other accessibility features, state this before design approval. A decorative room-number plate without Braille should not be assumed to satisfy an accessibility specification. Share the project or local compliance requirements with the sign vendor.

Step 7: approve one master sample

Before full production, approve a digital proof and, for a large project, consider one physical sample. Confirm:

• Exact colours under corridor lighting
• Material thickness and edge finish
• Logo position and room-type wording
• Mounting-hole spacing or tape position

Once the template is approved, all numbers should be generated from the same master design.
